Code of Conduct

At #NanoSeries2025, we are committed to fostering an inclusive, respectful, and professional environment for all participants. To ensure a positive experience for everyone, we expect all attendees, speakers, exhibitors, and volunteers to adhere to the following code of conduct:

  • Respectful Behavior: Treat all attendees, staff, and participants with respect. Harassment, discrimination, or inappropriate conduct of any kind will not be tolerated.
  • Inclusivity: Be mindful of diversity in all forms cultural, gender, academic, and professional. We encourage thoughtful, inclusive, and respectful discussions that contribute to the exchange of ideas.
  • Zero Tolerance for Harassment: Harassment includes, but is not limited to, offensive verbal comments, deliberate intimidation, stalking, unwanted photography or recording, and inappropriate physical contact. If you experience or witness any harassment, please contact
    the organizers immediately.
  • Professionalism: This is a professional event, and all participants are expected to act in a manner that reflects well on themselves and their institutions. Presenters should be prepared, punctual, and respectful during their sessions.

Health and Safety

  • Personal Health: We prioritize your well-being. If you are feeling unwell or have any symptoms, we ask that you refrain from attending in-person sessions and notify the organizers as soon as possible.
  •  Emergency Procedures: Familiarize yourself with the venue’s emergency exits and protocols. In the event of an emergency, follow the instructions provided by conference staff and volunteers

Presentation Etiquette

  • Punctuality: Ensure that you are present for your session and stay until the end. This applies to all oral presentations, poster sessions, and discussion hours. Missing or leaving early from your session without notice is strongly discouraged.
  • Engagement: As a speaker, it is important to engage with the audience. Be prepared to answer questions and participate in discussions, both during your session and throughout the conference.
  • Technical Assistance: If you require any special assistance with AV equipment or other logistics, please notify the organizing team ahead of time.

Photography and Recording Policy

  • Consent Required: Attendees are welcome to take photos of the event and presentations for personal use, but permission from the speaker or individual must be obtained before taking close-up photos or recordings.
  • No Disruptions: Please ensure that your photography or recording does not interfere with the flow of sessions or the concentration of presenters and audience members.

Intellectual Property and Confidentiality

  • Presentation Content: All material presented at #NanoSeries2025 is the intellectual property of the presenter or their affiliated institution. Please respect the confidentiality and intellectual rights of all speakers.
  • Sharing Information: Do not share any unpublished data or proprietary information presented during the conference without the explicit consent of the presenter. If a session is designated as confidential, respect that designation.

Networking and Social Etiquette

  • Professional Networking: We encourage all attendees to take advantage of networking opportunities during the breaks and social events. Be courteous and respectful when engaging with others.
  • Respecting Time: When approaching presenters or speakers for discussion, be mindful of their time and other attendees who may also want to engage with them.

Poster Presenters

  • Full Availability: Poster presenters are required to be available during both days of the conference for evaluations by the jury and interactions with attendees. Missing your assigned times without notifying the organizers may affect your eligibility for awards or recognition

Consequences of Misconduct

Participants found to be in violation of the Code of Conduct may be subject to consequences, including but not limited to warnings, expulsion from the conference without refund, or notification of their institution.
