Visa Guidelines for NanoSeries2025 Attendees

We are excited to welcome you to NanoSeries2025, taking place in the beautiful city of Valencia, Spain. To help ensure your smooth entry into Spain, here are comprehensive visa guidelines tailored for our conference attendees from around the globe.

1. Visa Exemptions

For Schengen Area Citizens

If you are a citizen of a Schengen Area country, you do not require a visa to attend NanoSeries2025. Simply bring a valid passport or national ID for travel.

For European Union (EU), European Economic Area (EEA), and Switzerland

  • Citizens of EU, EEA countries, and Switzerland can travel freely to Spain without a visa.
  • A valid passport or national ID is sufficient for entry.

For Visa-Exempt Countries

Citizens from several non-Schengen countries can enter Spain visa-free for up to 90 days within a 180-day period. This applies to visits for tourism, business, or attending conferences like NanoSeries2025. Visa-exempt countries include:

2. Visa Requirements for Other Countries

  1. Visa Application Form: Completed and signed.
  2. Passport:

  3. Photographs: Two recent passport-sized photos.
  4. Conference Invitation Letter:
    1. Official invitation from NanoSeries2025 organizers, which you can request during registration.
  5. Travel Itinerary:
    1. Flight reservations (round-trip).
    2. Hotel booking or confirmation of your accommodation in Valencia.
  6. Proof of Financial Means:
    1. Bank statements showing funds to cover your stay (€90/day per person).
  7. Travel Insurance:
    1. Coverage of at least €30,000 for medical emergencies and repatriation.
  8. Proof of Employment or Status:
    1. A letter from your employer, business registration, or proof of student enrollment.

Application Process

  1. Submit your application to the Spanish embassy or consulate in your country of residence.
  2. Apply at least 15 days before travel, but no more than 6 months before your planned departure.
  3. Processing time typically takes 15 business days, but delays may occur during peak travel seasons.

3. ETIAS for Visa-Exempt Travelers

Starting in 2024, travelers from visa-exempt countries must apply for an ETIAS (European Travel Information and Authorization System) before entering Spain or any Schengen country.

  • Validity: ETIAS authorization is valid for 3 years or until your passport expires.

  1. Authorship: You are an author of an accepted submission (e.g., invited talk, oral presentation, or poster presentation).
  2. Registration: You are a registered participant of the #NanoSeries2025 conference.

Please include the following information in your request:

  • Title: Your title (e.g., Dr., Professor, Mr., Mrs., Miss, Ms., etc.).
  • Full Name: Your complete name, clearly indicating family and given names.
  • Organization: Name of your organization or institution.

To ensure ample time for visa processing, please request your letter as soon as possible, especially if you’ve submitted an abstract. NanoSeries does not recommend waiting for abstract status notification to request an invitation letter.
